Money Settings - Source Codes - Mail Data

If you'd like to run Response Analysis Reports (otherwise known as Bluebooks) directly from Crimson, you'll need to complete at least some of the Mail Data fields (Production, Postage, List Cost, and Number Mailed) within the Source code settings to do so.

You can also use the Gift Summary section to see Gross, Cost and Net totals.

**Please note: The Gift Summary section calculates in a different manner than Response Analysis Reports.

How the Feature Works:

First, you want to setup Source codes for your direct mail Initiative. For example, you might create three Source codes for three unique segments or lists you'll send under one particular direct mail Initiative.

  • Start by creating the Initiative code and then import or manually add the Source codes, linking them to the Initiative.

  • Enter the Cost Details and Number Mailed data per Source code found on the Mail Data tab from the Edit Source Code window. This is data your Direct Mail vendor should provide you.
  • Once contributions start coming in via these Source codes, you can run Response Analysis Reports from the Initiatives Setting menu by clicking the  button or from under the main Reports menu of Crimson.

Cost Details Fields:

Below is a description of all of the Cost Details fields available and when/how each is calculated into the Gift Summary and/or Response Analysis Reports.

  • *Production (per mailed): A production cost per piece mailed. This cost is multiplied by *Number Mailed and will be calculated accordingly in the Gift Summary section and Response Analysis Reports.
  • *Postage (per mailed): A postage cost per piece mailed. This cost is multiplied by *Number Mailed and will be calculated accordingly in the Gift Summary section and Response Analysis Reports.
  • *List Cost (per mailed): A list cost per piece mailed. This cost is multiplied by *Number Mailed and will be calculated accordingly in the Gift Summary section and Response Analysis Reports.
  • One Time Flat Cost (per Source): One-time flat cost amount. This is commonly used when your costs aren’t broken out for production, postage, and list costs per piece or when you need to plug a number to make up a difference because the total production costs didn’t divide up evenly by the number of pieces.
    **Please Note: This cost will only be calculated in the costs for the Gift Summary section and NOT in Response Analysis Reports.
  • Cost per Response (per gift): A cost per response or gift. This cost is multiplied by the Number of Gifts.

  • Cost % of Raised (x Gross $): This cost allows you to keep track of a percentage cost such as a credit card processing fee and is then multiplied by *Number Mailed.
    **Please note: This cost will only be calculated in the costs for the Gift Summary section and NOT in Response Analysis Reports.
  • Apply to All Codes in Initiative: If this checkbox is checked, all of the Cost Details you’ve completed for a particular source code will be applied to all source codes that belong to that same Initiative. This may be helpful if you are doing multiple mailings with the same associated costs (i.e. rented mailing lists).

Date Fields:

  • Mailed Date: The date the mail pieces were dropped.
  • First Cage: The date for the first caged response/gift.
  • Last Cage: The date for the last caged response/gift.
  • Last Modified: The date the source code was last updated due to a new response/gift or Mail Data edit.
  • Apply Mail Date to all Codes in Initiative: If this checkbox is checked, the mailed date that you entered for this particular source code will be applied to all source codes that belong to that same initiative.

Quantity Fields:

  • *Number Mailed: The number of pieces mailed.
  • Number of Gifts: The number of unique responses/gifts.
  • Number of Donors: The number of unique donors.
  • Response Rate: The percentage of Number of Gifts over *Number Mailed.

Additional Mail Data Fields:

  • List # Group: A way to segment groups that may use specific lists for direct mail pieces.
  • List #: A way to segment which mailing list was used for different direct mail pieces.
  • Tele-Marketing Code: If this checkbox is checked, additional fields that pertain to telemarketing will appear under the Quantity section.
